why the ClickUp vibe is overwhelm 😬


2025 is here and we're ready for it 🥳

Call me cliche, but I love the whole new year, new you energy.

What's wrong with wanting to improve yourself?

I want to ride this SELF IMPROVEMENT high and start the new year with 3 quick-hit ways to make your ClickUp simpler this year!

Starting with Tupperware.

Is there anything more frustrating than a drawer full of lids and containers that don't match?

That's definitely one of my bugaboos. 😩

& what do most people do when they have a bunch of mismatched Tupperware?

They throw it all out and start fresh with a new set.

They stack. They match. They go together.

This is exactly the same logic I'd like you to apply to your task statuses and stick to a 2 or 3 stage task status you use for everything.

Open, in progress, closed.

Open, closed.

If you've ever downloaded a template, or you jumped into building as a newbie, custom task statuses are the norm.

Don't get me wrong. I understand the logic of thinking:

"I want to track the phases of this THING in detail, obviously that's what the task status is for"

& it's really not an issue until you start using the everything view – which btw is the ClickUp secret sauce for feeling calm when there's a lot going on. 😌

The everything view is your single source of truth: the ONE LIST with everything you're working on... in one place.

If every list uses a different set of task statuses: when you try to bring all of that together into a singular list, it turns into a shit storm. 💩☔️

When you have your project manager hat on, all you need to know is what you're working on and what's coming down the line.

The specific stage of a task doesn't matter until you're working on that task.

For example, in my project everything view, I have two YouTube videos that are in progress. ⬇️

Are they in the outline, or scripting, or filming phase? I don't care when I'm looking at this view.

From this high level view, all I care about is what's coming up, what's being worked on and if it will be done on time – and grouping by task status helps with that.

If I was using a separate task status for my YouTube videos, this view would be a lot more scattered and less helpful bc each project would be grouped separately.

PS-Keeping is SIMPLE is how you prevent feeling overwhelmed.

To add context to the specific stage of a task, use custom fields instead.

Trust me when I say... overcomplicating your setup is a right of passage in ClickUp so don't stress as you work out the kinks.
